QR check-in for wedding guests

Check guests in at the venue: each signed-in guest gets an entry pass QR code on the guest page. Scan it with your phone, or find a guest by name and tap.

For a big reception, a planner's event or any function with someone at the gate, check-in tells you who has arrived and how many people are still to come.

The live demo guest page on a phone: Priya & Aditya's Wedding, Tue, 15 Dec 2026, Jaipur, four functions, an RSVP now button and tabs for schedule, venues, RSVP, gallery and wishes.

How check-in works

  1. Guests get an entry pass

A guest who signs in on the guest page with the phone number or email you saved for them sees Your entry pass: a QR code that is theirs alone.

  2. Scan at the door

Open Check-in and scan the pass with your phone's camera, in the Eventos Hub app or on the website in Chrome or Edge.

  3. No pass? Search by name

Type a guest's name and tap to check them in. Tap again to undo a mistake.

  4. Watch the count

Check-in shows how many people have arrived out of how many are expected, plus-ones included.

Good to know

  • The entry pass is on the guest page, not in the invite message, so guests open it after signing in.
  • The count updates on the phone doing the check-ins. A second phone at another gate sees those arrivals the next time it loads the list.
  • Scanning on the website needs a browser that can read QR codes, such as Chrome or Edge. Searching by name works in every browser.
  • Check-in is part of every plan, Starter included.

Who it suits

  • Receptions and sangeets with a long guest list and one entrance.

  • Wedding planners who keep the family posted on arrivals as the evening goes on.

  • Hosts who want to know who has not arrived yet, without walking the hall.

Check-in questions hosts ask

Do guests need an app for the entry pass?

No. The pass is on the guest page in their phone's browser, after they sign in with the phone number or email you saved for them.

What if a guest's phone is dead?

Search for their name on the Check-in page and tap to check them in. No pass is needed.

Does the count include plus-ones?

Yes. The arrival count includes the people each guest said they would bring.

Can two people check guests in at once?

Yes, on two phones. Each phone's count updates as it checks guests in, and shows the other phone's arrivals the next time it loads the list.
